Running a small business means wearing a dozen hats and keeping track of everything that comes with them. Finding a single platform that’s affordable, intuitive, and powerful enough to handle both project work and daily operations can feel like searching for a needle in a haystack. After using countless tools over the years, we found what works for us and what we believe can add value for any business. We didn’t just adopt monday.com, we became certified partners, because we are passionate that every small business deserves a modern work management solution this good.
The Challenge
The market is flooded with collaboration, automation, and project tracking tools — and it’s easy to end up with too many tools, scattered across too many places. The costs add up fast, and so does the complexity.
As a small professional services firm, we were juggling Excel, OneDrive, Slack, Trello, FreshBooks, and Outlook just to run day-to-day operations. Time tracking lived in FreshBooks, conversations split between Slack and Outlook, files in OneDrive, tasks in Trello. Nothing talked to anything else, information was duplicated across platforms, and nobody could ever remember where to look for what.
As process-oriented consultants, we knew something had to change. We set out to simplify our tech stack, drive team productivity, automate core workflows and ideally, cut costs by trimming the number of subscriptions along the way.
The Approach
We started by looking into time tracking options. We knew that finding a replacement for FreshBooks was the place to start since we were only using a slice of functionality that it offered. Most alternatives in this category were pricey for the functionality they provided and didn’t deliver any value other than time tracking.
The turning point came after completing a client engagement using monday.com for portfolio management. Taking a closer look at what it could do internally, we discovered that is was a modern platform capable of running the entire business, not just tracking time. No more sticky notes, emails, checklists in Trello and updates scattered across email and Slack never to be found again. Within the next two months, all the day-to-day operating tasks were shifted into this one core platform.
One of the key differentiators of the platform is that it is a low-code/no-code platform so it’s accessible for small teams that do not have the luxury of an engineering group to help them set up or administer the solution. It basically involves defining what your project looks like and setting up boards with the features you want to track. For anyone starting a new process or workflow from scratch, monday.com also provides a library of intuitive templates to customize for your needs. Once your boards are set up, you can visualize the information in the way that best suits the way you work, including Kanban, Gantt views, and dashboards.
The Results
Six months in, monday.com has become the connective tissue of our business. It’s a single shared space to plan, execute, track, and collaborate on client projects and core business processes. It is extremely user-friendly and flexible, offers streamlining and automation features other tools don’t, and provides visibility into workflow and project status with an array of customizable dashboards to provide the transparency we need to run our business.
The biggest win has been the seamless team collaboration that the platform enables, which is driving real productivity gains. No more chasing people down or hunting across platforms for information. Everything lives in one place, visible to everyone.
At its core, the value is straightforward: tasks on a board, with owners and due dates, backed by smart AI enabled automation. When a deadline falls within 30 days, it automatically surfaces to our active board so nothing slips through the cracks. For standups and weekly ops meetings, we pull up a board, sort it for easy viewing, review highlights, and update in real time — no prep decks or follow-up emails needed.
Monday.com truly provides an environment where all the work comes together in an intuitive, simple, well-designed interface to help you keep an eye on what’s most important for the business. Automated workflow options help move work along, notify people of upcoming actions, or pass along updated information. If you are managing a team, you can check on resource availability and who’s overloaded, share notes and files, and oversee contracts or critical documents.
Since launch, monday.com has evolved into a full AI work platform with built in intelligence that can auto-assign work, flag bottlenecks, create project summaries, and surface insights needed to make smarter decisions. Need a status update? Sidekick within Monday creates it. Need a capacity tool to manage resources? Vibe can use your Monday boards to create a secure app right within your platform. The options are endless!
We’ve found the more you can do in one tool, the better, and monday.com is flexible enough to deliver. It drives efficiency, accountability and team engagement so that everyone has a vested interest in the organization’s success. When everyone can see the work, accountability and ownership follow naturally.
Looking Ahead
The beauty of monday.com is that it scales from a 10-person company up to an enterprise scale organization, and every size in between. We recently helped a major enterprise consulting firm revamp its portfolio management system using monday.com. You can read this case study in full on our website: Reimagining Portfolio Management for Global Visibility and Real-time Insights.
Monday.com also goes far beyond traditional project management, with global teams using it to coordinate events, manage volunteers, triage IT tickets, and much more. It also offers AI-enabled CRM and service management solutions to tackle sales pipelines and request workflows, all through no-code/low-code tools that deploy in weeks. We’re actively exploring how to weave these products into our own stack as we grow and scale.
